How to reply when the requested safari dates are unavailable

Say clearly that you cannot offer the requested stay, then ask about the smallest change that might help. Do not send a different itinerary as though it were the one the guest requested.

Be precise about what you cannot offer

Check whether the problem is the whole stay, one night or the requested room arrangement. Your reply should reflect what has actually been checked. 'We cannot offer the family room for the full stay' is a different answer from 'the lodge is full'.

Keep the tone straightforward. A guest comparing travel plans needs to understand the constraint before deciding whether to be flexible. Avoid vague phrases such as 'availability is challenging' when a clear answer is possible.

Find out which part of the trip can move

Ask one useful question before suggesting several alternatives. Dates may be flexible while a flight or a travelling companion's plans are not. Do not assume the guest can add nights, change rooms or move to another property.

You might ask whether shifting the arrival by a day is possible, or whether they would like you to check a different room arrangement. These are offers to investigate, not promises that an alternative exists.

Use a reply that distinguishes checking from offering

Here is a fictional writing pattern: 'Thank you for the dates. We cannot offer the requested room for the full stay. Are your arrival dates flexible by a day? If so, I can check the adjacent dates and send a confirmed option. I have not placed anything on hold.'

If you already have a verified alternative, give its dates, room arrangement and relevant differences. State its actual status. An option checked earlier is not automatically a current offer, and a current offer is not automatically a reservation.

Leave a clear record of the answer

Record the original request, the constraint you confirmed and the question you sent back. If the guest is not flexible, close the enquiry accurately rather than leaving an unexplained open task.

If they want an alternative checked, give that task an owner. The next message should answer the new question, not repeat that the original dates were unavailable.
